Job Description

The British International School, Cairo, is seeking to hire a competent person who is able to provide a professional, confidential, and comprehensive personal assistance and administrative support service to the Principal.

The post-holder will act as the primary point of contact for the Principal's office, managing a complex and demanding workflow with discretion and efficiency.

This role is pivotal in facilitating communication between the Principal, staff, parents, Board of Governors, and external stakeholders.

Key Responsibilities

1.1 Executive & Administrative SupportDiary Management: Proactively manage the Principal's complex calendar, including scheduling meetings, appointments, and events.

Prioritise conflicting demands to ensure the Principal's time is used effectively.Inbox Management: Screen, prioritise, and respond to emails and correspondence on the school’s general email inbox or forward and follow up on messages where appropriate.Communication & Liaison: Act as the first point of contact for the Principal's office, handling inquiries with professionalism and warmth from staff, students, parents and other parties.Document Preparation: Prepare, edit, and format high-quality reports, presentations, letters, and meeting agendas and minutes with a high degree of accuracy and in line with the school's practice.Office Systems: Maintain an efficient filing system (both electronic and paper) for the Principal's office, ensuring quick retrieval of documents and information.

Manage office supplies/stationery and equipment for the Principal's office.1.2 Operational & Strategic Support:Project Assistance: Support the Principal with special projects, research and initiatives as directed.

This may include assisting with the preparation for school inspections (e.g. BSO, CIS, local authority) by liaising with inspectors and coordinating logistics.Policy Custodian: Act as the custodian for key school policies and documents, ensuring they are updated, version-controlled and accessible to relevant stakeholders.1.3 Community & Stakeholder Engagement:Frontline Representation: Welcome the Principal’s visitors and represent the Principal's office in a manner that reflects the school values and commitment to excellence.Community Liaison: Foster positive relationships with parents and the wider school community, handling sensitive inquiries with tact and directing them to the appropriate staff member when necessary.

2.1 Qualifications and ExperienceEducation: University graduate.Experience:Minimum of 3-5 years of proven experience as a Personal Assistant, Executive Assistant, or in a similar senior administrative role, preferably within an international school or educational environment.Experience in supporting senior-level management is essential.2.2 Skills and KnowledgeOrganisational Skills: Exceptional organisational and time-management skills, with the proven ability to multitask, prioritise workloads, and meet tight deadlines in a fast-paced environment.Communication: Outstanding written and verbal communication skills in English and Arabic.Technical Proficiency: Expert user of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.
