The Admin Supervisor is responsible for overseeing daily administrative operations, ensuring that the office runs efficiently and smoothly, and supporting other departments with administrative functions.
The role includes supervising administrative staff, maintaining office supplies, managing schedules, and ensuring compliance with company policies and procedures.
Supervision of Administrative Staff:Assign tasks, monitor workloads, and provide guidance and support to admin staff.Evaluate staff performance and provide constructive feedback.Office Operations:Ensure the smooth running of the office and manage general office procedures.Manage office supplies, procurement, and inventory to ensure all departments have the resources they need.Documentation and Record Keeping:Oversee the management of company records and databases, ensuring accuracy and accessibility.Ensure all documents are filed properly, and company records comply with internal and external regulations.Vendor and Service Provider Management:Liaise with external vendors and service providers for maintenance, repairs, and supply orders.Negotiate contracts and ensure timely delivery of services.Budget and Expense Management:Assist in budget preparation and monitor administrative expenses.Prepare and review expense reports for the department.Compliance and Safety:Ensure compliance with company policies, health, and safety regulations.Manage administrative audits and ensure the office meets compliance standards.Event and Meeting Coordination:Organize and coordinate meetings, conferences, and office events.Assist in preparing meeting agendas and materials.
