Job Description
- Maintain an accurate and up-to-date register of all company-owned assets and equipment.
- Ensure every asset is properly identified/tagged and linked to its location and responsible person.
- Maintain all supporting records related to asset handover, transfer, return, maintenance, and disposal.
- Manage the handover and return of company assets to and from employees and departments.
- Ensure all assets assigned to employees are properly documented and acknowledged.
- Coordinate with HR to ensure company assets are returned during employee transfers, resignations, and terminations.
- Conduct regular physical checks and inventories of company assets across all company locations.
- Reconcile physical assets with the asset register and investigate any discrepancies.
- Identify and report missing, damaged, or unaccounted-for assets immediately.
- Track all asset movements between employees, departments, offices, warehouses, and other locations.
- Ensure all asset transfers are properly authorized and documented.
- Maintain accurate information on the current location and custodian of each asset.
- Maintain accurate records of all Coffee Machines and other company-owned equipment placed at customer locations.
- Track installation, movement, maintenance, replacement, collection, and return of machines and equipment.
- Conduct regular verification of assets located at customer sites and ensure they remain properly accounted for.
- Coordinate with Sales, Service, Supply Chain, and other relevant teams regarding customer-site assets.
- Monitor the physical condition of company assets and equipment.
- Follow up on required maintenance, repair, replacement, or collection of assets.
- Ensure damaged or unusable assets are properly reported and followed up.
- Identify risks that may lead to asset loss, damage, or misuse and take preventive actions.
- Investigate and follow up on missing or unaccounted-for assets and escalate unresolved cases to management.
- Prepare regular reports covering asset status, location, custody, condition, movements, and discrepancies.
Requirements & Qualifications
- Bachelor's degree in Business Administration, Accounting, Engineering, Logistics, or a related field.
- 5–8 years of relevant experience in asset management, administration, facilities, operations, or a related field.
- Good command of Microsoft Office and ERP systems
- Strong organizational and follow-up skills.
- Good communication and coordination skills.
- Strong problem-solving and decision-making skills.
- Good command of English.
